Fiscal Support and Event Planner

The George Mason University College of Education and Human Development (CEHD) seeks applicants for a part-time position to provide fiscal and event planning support for academic projects and sponsored research awards. The Fiscal Support and Event Planner position will purchase a wide variety of services, equipment, marketing materials, and supplies using University systems such as eVA, purchase card, and Sodexo; track and reconcile accounts on a monthly basis; prepare travel authorizations and reimbursements using the online travel request system; and provide event planning for conferences, workshops, and trainings for the Division of Special Education and Disability Research.


  • Work closely with various fiscal services units such as the purchasing office, accounts payable, travel office, and various other financial, administrative, and academic units of Mason;
  • Process faculty and staff purchase requests for equipment, professional services, speakers, rental facilities, lodging, catering, marketing materials, software, conference registrations, memberships, and supplies through the Virginia online, electronic procurement system (eVA);
  • Process small purchase requests through departmental purchasing cards (P-Cards);
  • Reconcile all purchases and submit monthly financial statements with supporting documentation;
  • Process national and international travel authorizations and reimbursements for faculty;
  • Monitor and reconcile faculty allocation funds on a monthly basis;
  • Ensure all documentation is kept in accordance with federal/state/university rules and policies;
  • Plan and coordinate events, particularly as they relate to lodging and transportation, facilities arrangement, catering, and audio-visual equipment;
  • Monitor event budgets and reconcile invoices.

Required Qualifications:

Demonstrated experience in a similar role, to include, for example, monitoring budgets and negotiating and securing contracts with hotels, and negotiating and securing contracts with professional speakers and consultants. Strong understanding of fiscal and budgetary processes and a working understanding of rules and regulations governing allowable expenditures on state and sponsored research funds. The candidate must have excellent planning and organizational skills, excellent communication skills, both written and oral, the ability to work collaboratively as well as independently, and competence in the use of Microsoft Office Suite.
