Client Services Assistant

The George Mason University, Mason Enterprise Center, is looking for an enthusiastic and energetic person for a Client Services Assistant position for its Virginia PTAP program. PTAP (Procurement Technical Assistant Program) provides counseling and services that help businesses do business with government at the Federal, State, and Local levels.

Duties:

Event Support

  • Assist PTAP staff to prepare for training events, including
    • Prepare (print, collate) handouts and class materials in advance of training.
    • Set up the classroom per instructor specifications.
    • Proctor seminars – assist with registration and sign-in.
    • Send out class material electronically.
    • Collect, review, and file / scan evaluation forms. Notify PTAP staff of any feedback that needs attention.
    • Assist with PTAP conferences by facilitating onsite registration and check-in; setting up event spaces & staffing PTAP booth / table.

Customer Relationship Management & (CRM) Database Administration

  • Monitor and triage voicemails and “generic” email account under the direction of the Client Services Coordinator.
  • Assist clients with online registration for classes and counseling.
  • Perform data entry and data management, including report generation, from PTAP’s CRM.
  • Maintain up-to-date records by cleaning up outdated and bounced contact information, removing duplicates, and updating client award / milestone information.
  • Assist Client Services Coordinator with updating client information on file by performing internet research on client businesses.

Bid Matching Service

  • Management of Bid Match offering, including routine updates, working with clients to ensure they are getting expected results, updating profiles on an ‘as-needed’ basis, and troubleshooting errors.
  • Intake and profile generation.
  • Serve as primary point of contact regarding the service – including questions on expectations, pricing, registration, maintenance, and renewal.

Marketing and Outreach

  • Assist in maintenance of PTAP’s social media presence, including LinkedIn, Facebook, and Twitter, with regular updates regarding ongoing activity, special events, and training.
  • Represent PTAP at event exhibit tables as needed when schedule permits.
  • Create and update PTAP calendar event listings for “local events” and training classes as assigned using CRM.
  • Under the direction of the client services coordinator, manage email-marketing campaigns to promote PTAP classes and special events.
  • Assisting vendors / exhibitors / sponsors with registration, check-in, ensuring their needs are met in advance, during, and post events.
  • Other duties as assigned

Required Qualifications:

  • Excellent customer service ability including interpersonal, written, and oral communication skills;
  • Well-organized and detail-oriented, with ability to work independently in a fast-paced environment;
  • Team player with a willingness to collaborate; and
  • Experience with Microsoft Excel and Word, online research, professional use of social media.
  • Must commit to at least one-year employment.

Preferred Qualifications:

  • Constant Contact, WordPress, HTML, or CRM experience.
  • Knowledge of GMU university systems.
