This position will focus on pre- and post-award grants administration and reconciliation for the Division of Advanced Professional Teacher Development & International Education (APTDIE) and the associated Centers within the Division. Duties will include, but are not limited to, assisting with the preparation of proposal packages and post-award project management tasks, processing of financial and human resources transactions, and the reconciliation of grant funds and PI indirect funds. In that role the Fiscal Services Specialist will work closely with the division’s part-time finance specialist, assisting with purchasing, reconciliation, billing and hiring actions outside the domain of grant-supported projects to carry out the mission of the unit. The position reports to the Division Director.

Another focus of this position is reconciliation of monthly expenditures for all grants and PI indirect funds to ensure all personnel and direct expenditure charges are correct, and that all required source documentation and approvals are on file. The incumbent will also assist with post-award project management tasks and attend post-award meetings with the CEHD research administration team.

Pre-Award Support Responsibilities:
This position will also assist with pre-award and proposal tasks for APTDIE. The range of services includes assisting new and established Principal Investigators in understanding sponsored project requirements; university/agency fiscal policies and procedures; and the review of RFP, application and solicitation requirements. The incumbent will also assist Principal Investigators and the CEHD Senior Research Administrator with the development of proposal budgets; collection of required sub-award proposal documentation (e.g., budgets, budget justifications, scope of work) and commitment letters from partners and consultants; completion of required checklists; preparation of cost accounting exemption waiver documents and cost share requests; and any other supplementary sponsor/agency-specific proposal documentation needed for the accurate and timely submission of proposals.

Required qualifications:

  • Bachelor’s degree in a related field or an equivalent amount of education and experience working in fiscal services, research or grants administration;
  • Strong understanding of proposal guidelines and business practices, generally accepted accounting principles and cost accounting standards, and federal 2 CFR 200 uniform guidance;
  • Ability to effectively interpret federal, state, university and sponsor-specific guidelines, policies and procedures;
  • Must be self-motivated, highly organized, possess strong time management skills in order to prioritize tasks to meet deadlines, and have the ability to work in a dynamic, fast-paced environment;
