Executive Assistant

The George Mason University, Office of Human Resources and Payroll invites applications for an Executive Assistant to the Vice President of Human Resources, Payroll and Faculty/Staff Life. Responsibilities:

This position is highly visible and interacts with most offices within the university, as well as with the general public. The Executive Assistant provides senior administrative support to the Vice President of Human Resources, Payroll & Faculty/Staff Life, to include:

  • Acting as a confidential assistant to the Vice President in personnel matters maintaining the highest degree of discretion and objectivity
  • Providing customer service in sensitive situations utilizing creativity and problem-solving skills
  • Managing consultant invoice payments, webinar purchases and some ordering of supplies
  • Managing calendar
  • Coordinating travel
  • Drafting correspondence and providing committee support

Required Qualifications:

  • Bachelor’s degree or equivalent combination of education and experience
  • Extensive experience with executive administrative support
  • Demonstrated experience with executive calendar management
  • Ability to successfully work in a fast paced environment, with complex instructions, multiple and competing tasks, with flexibility in an ever-evolving work day
  • Ability to handle highly confidential information with discretion, poise and professionalism
  • Ability to discern volatile, sensitive and political situations, and respond appropriately
  • Excellent interpersonal skills and communications skills, including the ability to work effectively with staff and external constituents at all levels of the university in person, electronic communication and by telephone
  • Exceptional relationship building skills
  • Experience with collaboration and communication with diverse individuals with differing needs
  • Ability to work as part of a team as well as independently
  • Proficient MS Office skills, including Microsoft Word, Excel and PowerPoint

Preferred Qualifications:

  • General knowledge of HR functions and processes preferred
  • Experience in office management in a large complex organization, university or public environment experience highly preferred
