Administrative Assistant – Counseling and Psychological Services

The George Mason University Counseling and Psychological Services (CAPS)—the primary mental health and academic coaching service provider for Mason students—is seeking an organized and detail-oriented Administrative Assistant to provide administrative and operational support. Responsibilities:

This position serves as the first point of contact for students, parents, faculty and the university community regarding mental health and learning services for George Mason University students. The incumbent will interact well with students presenting with mental health and/or academic concerns. Duties include, but are not limited to the following:

  • Work in coordination with CAPS Office Manager and Leadership Team to provide administrative support to the unit;
  • Prepare and process travel documentation and reimbursements;
  • Maintain and purchase supplies;
  • Coordinate work orders, equipment requests, and space requests;
  • Process hiring paperwork for undergraduate, graduate and wage employees;
  • Create and utilize databases to monitor budget expenditures, computer equipment, resource use, and program participation;
  • Assist with reception desk coverage;
  • Assist with managing calendars, scheduling appointments, and notifying clients of staff absences;
  • Update department website;
  • Maintain self-help media resources/other materials, and study lounge for Learning Services Department;
  • Complete monthly Learning Services and other small program budget reconciliations; and
  • Assist with computer and technology setup, maintenance, and troubleshooting; and
  • Other duties as assigned.

Required Qualifications:

  • Previous relevant administrative experience;
  • Strong oral and written communication skills; and
  • Demonstrated knowledge of Microsoft Office suite programs.

Preferred Qualifications:

  • Bachelor’s degree, or an equivalent combination of education and experience;
  • Experience working in a higher education setting or with the Commonwealth of Virginia;
  • Knowledge of, or willingness to learn, other computer- and technology-based tasks; and
  • Ability to work as a team player to provide excellent customer services.

Because this position handles confidential student information, non-George Mason University students are highly preferred.
