School of Business Event Coordinator

The George Mason University School of Business seeks a dynamic, creative and dedicated individual to fill the part-time position of Event Coordinator. Reporting to the Assistant Dean of Finance and Administration, this position will work collaboratively with various constituents within the business school to develop, plan and execute school events. Hours for this position are 25-29 hours per week. Detailed Duties and Responsibilities:

  • Work collaboratively with various faculty and staff in all aspects of planning and executing school events;
  • Work with the event stakeholders to develop a budget for each event;
  • Ensure that event revenue and expenses are executed in alignment with approved budget and in accordance with university and state policy;
  • Process fiscal paperwork and payments for general event expenses;
  • Request and file room reservations for events using the 25Live reservation system;
  • Work with hotels and other events space to choose and reserve space for events as needed;
  • Provide pre-event, day-of, and post-event assistance;
  • Selection and ordering of food and beverages for events;
  • Assist with writing of promotional materials when needed;
  • Assist with setup/breakdown support and some strenuous physical work when needed;
  • Maintain and organize the business school’s event storage room and implement an event inventory tracking process;
  • Conduct event research and evaluations for attendees, and compile results for event records;
  • Maintain school-wide event calendar; and
  • Other event related tasks as assigned.

Required Qualifications:

  • Proven ability to initiate, plan, schedule and manage on- and off-site university events, to include coordination of locations, facilities, technical services, supplies and catering;
  • Ability to effectively communicate standards of facility use, program operations, campus policies, regulations and procedures to stakeholders and attendees;
  • Ability to develop cost estimates, and schedules that effectively manage multiple projects with diverse stakeholder needs;
  • Must be extremely detail-oriented, have excellent organizational and multitasking skills, have a passion for events, and a dedication for creating a high-quality guest experience;
  • Must be willing to work independently in a fast-paced environment;
  • Must be willing to work nights and weekends as needed to execute events;
  • Must be available and willing to work a full day on the day before and day of each major event, which includes some weekends;
  • Demonstrated event planning experience, including nonprofessional experience and volunteer work;
  • Outgoing personality—applicant should be flexible, hospitable, gracious, assertive, motivated, independent, creative, resourceful, and have an ability to solve problems calmly and quickly;
  • Collaborative work style;
  • Strong communication skills—applicants should write clearly, be able to follow written directions, and be able to speak effectively in front of large groups;
  • Computer skills in Microsoft Office, especially Excel and Word;
  • Physical labor—ability to safely and independently move up to 50 pounds and ability to stand for long periods of time;
  • Neat, clean, and well-groomed appearance employing business casual/professional attire;
  • Comfortable working with diverse populations;
  • Bachelor’s degree, or an equivalent combination of education/training and experience;
  • Possess a valid driver’s license which must be in good standing (and insurable) to operate state or personal vehicle(s); and
  • Must be willing to travel to events at multiple campuses and locations.

Preferred Qualifications:

  • Advanced MS Excel skills;
  • Bachelor’s degree in a related field (e.g., hospitality, tourism, event management);
  • Previous experience working on a college campus; and
  • Have reliable personal transportation.

Employment offer is contingent on meeting eligibility requirements for operating state-owned vehicles.
