Receptionist and Program Assistant, Graduate Programs

The George Mason University School of Business is seeking an energetic, organized, and detail-oriented Receptionist and Program Assistant to support the Graduate Programs office. This is a full-time staff position with full benefits. Responsibilities:

The Receptionist and Program Assistant position has responsibilities in the following areas:

Admissions and Recruitment Support:

  • Providing recruitment and operational support for the Graduate Services Office;
  • Developing, implementing, and managing business policy, and standard operating procedures related to admission and recruitment operations to ensure data capture and integrity;
  • Service support for prospective students and applicants;
  • Managing administration functions of record keeping for admissions;
  • Tracking communication in Hobsons Radius;
  • Letter publication;
  • Maintaining spreadsheets of applicants, inquiries, and records in Ellucian Banner; and
  • Ensuring reports are accurate and efficient processes are adhered to.

Receptionist, Hosting, and Administrative Support for the Graduate Programs Office:

  • Providing excellent customer service to students, faculty and staff;
  • Scheduling of common spaces and event spaces, ensuring appropriate use of both;
  • Receiving incoming phone calls;
  • Submitting and following up on facilities requests;
  • Providing procurement support as back up to the Office Manager using university procurement systems (eVA, travel, etc.); and
  • Providing general administrative support for graduate programs staff and faculty.

Event Coordinator:

  • Overseeing the planning and implementation of core BUS recruitment events;
  • Developing and managing the central scheduling of all recruitment events, including preview events, class visits, and admissions interviews to prevent conflicts and ensure consistency in communication; and
  • Manage scheduling, purchases, and oversight of graduate program events.

Special Project Work:

  • Execute special projects and initiatives as assigned that support the strategic mission of the school.

Required Qualifications:

  • High school diploma or an equivalent combination of education and experience;
  • Excellent computer skills with working knowledge of all applications in Microsoft Office, database expertise, and e-mail and network applications;
  • Ability to effectively communicate and work with others to achieve results; and
  • Good citizenship and the ability to work well with colleagues.

Preferred Qualifications:

  • Experience working in a higher education environment;
  • Experience with the Commonwealth of Virginia online procurement system (eVA);
  • Experience with university systems (i.e., Banner, Radius, AppReview, eVA, etc.);
  • Excellent communication, analytical, strategic thinking, and organizational skills; and
  • Proactive problem-solving skills, attention to detail, ability to motivate, and ability to learn new tasks quickly.
